Remote Property Handover in Albania: Owner Checklist

Handing over a property is not the same as handing over a set of keys. For an owner who lives outside Albania, the handover is the moment to establish who controls the accounts, which decisions need approval, what condition the property is in, and how work will be documented.

A careful handover reduces disputes later. It also gives the manager enough information to solve ordinary problems without guessing.

1. Confirm the operating scope

Start with the service the property actually needs: short-term rental management, long-term rental management, vacant-home care, maintenance coordination, tenant sourcing, or a combination.

Write down what is included in practical terms. For a furnished rental, that may include guest or tenant communication, arrivals, cleaning coordination, inspections, inventory checks, maintenance coordination, and owner reporting. Legal, tax, notarial, engineering, and major renovation work should remain clearly separated unless a qualified provider is appointed for that work.

2. Record the starting condition

Create a dated photo and video record before the manager starts. Cover every room, appliance, meter, lock, balcony, storage area, parking space, and visible defect. Photograph serial numbers where they matter.

The condition record should identify existing damage rather than simply showing attractive listing photos. A leaking seal, marked wall, loose handle, or cracked tile is easy to forget and difficult to reconstruct months later.

3. Build one property file

The manager should receive only the documents needed for the agreed work. A useful property file can include:

4. Count and label every access method

List physical keys, fobs, remotes, lockbox codes, smart-lock users, alarm codes, parking access, and storage keys. Record who holds each copy. Avoid sending permanent access codes in an ordinary group chat.

If access changes later, update the record. The goal is to know who can enter the property without depending on memory.

5. Keep owner control of important accounts

Where the platform allows it, the owner should hold the primary booking account, recovery email, and payout destination. The manager receives the permissions needed to operate the listing. Apply the same principle to utility portals, cloud folders, smart locks, and any channel-management software. The owner should know how access can be changed or removed.

6. Set repair approval rules

The handover should state what the manager can approve, what requires a quote, and what qualifies as an emergency. A sensible policy distinguishes immediate safety or damage-prevention work from normal repairs and improvements.

7. Agree on reporting before the first month

Choose the reporting period, delivery date, and information the owner expects. A useful report connects income or occupancy information to source statements, direct property costs, maintenance activity, open approvals, and next actions.

8. Complete a first-week verification

During the first week, the manager should confirm that access works, urgent defects are identified, key contacts respond, and the records match the physical property. Any gap should become a named action with an owner, deadline, and approval status.

A handover should also make departure easy

A professional setup includes a future handover process from the beginning. The agreement should explain how keys, files, platform access, supplier details, open reservations, deposits, and unfinished work will be transferred if the owner changes manager.

That does not weaken the working relationship. It protects the property and gives both sides a clean operating structure.
